Travel documents: originals or copies?
The original of passport or identity card remains always indispensable at any border control, but having also a digital copy and a paper one, kept separately, accelerates things significantly if the original is lost during the trip.
Why the original remains irreplaceable
No copy, however well made or authenticated, can physically replace the document required at boarding or entry to a foreign country: it is worth repeating this before any consideration of the usefulness of copies, which have a complementary role, not an alternative one.
When a copy saves the trip
A digital copy, saved on your phone or sent to an easily accessible email, enormously accelerates procedures at an embassy or consulate if the original document is lost or stolen during the trip, allowing you to prove your identity without rebuilding everything from scratch. A paper copy, kept in a different pocket of your luggage or entrusted to a travel companion, offers the same protection without depending on electricity or internet connection. Sharing a copy also with a family member who remained at home adds one last safety net if you lose both the original and the copies you brought with you.
Security of digital copies
Storing scans in a cloud folder protected by a password and an additional authentication level reduces the risk that this information falls into the wrong hands. For destinations with unreliable internet connection, it is also a good idea to download a copy locally to the device, not just to the cloud. Finally, it is worth knowing that some countries, especially in Asia, require a photocopy of the passport at hotel check-in or when purchasing a local SIM: having it already ready prevents you from having to hand over the original, a practice discouraged by most embassies.
To organize copies directly on your phone, the guide How to always have travel documents on your phone goes into practical detail.
The safest combination always remains: original with you, digital copy in the cloud and a paper copy separate from the original. It takes just a few minutes to prepare it before leaving, but it can prevent days of complications in case of loss.
